1. Getting Started

Mintain tracks maintenance for everything you own — your home, vehicles, yard equipment, and recreational toys — all in one place. No more guessing when you last changed the oil or replaced the furnace filter. Set it up once, and Mintain keeps you on schedule.

Create Your Account

  1. Visit app.mintain.app and tap Sign Up.
  2. Sign up with your email and a password, or use Continue with Google for one-tap access.
  3. Check your inbox and verify your email address.
  4. Name your household (e.g., "The Smith House" or "123 Oak Lane") — this is your shared space for all items and tasks.
Tip

We recommend setting up your items on a tablet or computer for the best experience. You'll use your phone day-to-day for checking tasks and logging completions.

Guided Tour

Mintain includes an interactive guided tour that walks you through each section of the app. You can run it anytime from Settings → Help → Replay Tour.

Mintain is designed mobile-first — it feels like a native app right in your browser. On phones, you'll find the main navigation at the bottom of the screen. On desktop, it shifts to a sidebar on the left.

Calendar

See all upcoming and completed tasks on a visual calendar. Month, week, and list views available.

Dashboard

Your at-a-glance command center. Overdue tasks, due-soon items, and quick notes front and center.

My Stuff

All your items in one place — homes, cars, mowers, boats. Tap any item to see its tasks and details.

History

A complete log of every maintenance task you've ever completed, with cost tracking and filters.

The Settings menu is always accessible from the gear icon in the top-right corner of the screen. On desktop, the sidebar also shows a category color legend so you can quickly identify Home, Auto, Yard, and Toys items.

Note

The Dashboard shows a red badge on overdue items so you can spot what needs attention at a glance — even from the navigation bar. Items overdue by 30+ days get a pulsing red banner.

3. Dashboard

Your Dashboard is the nerve center of Mintain — the first thing you see after logging in. It gives you an instant read on what needs your attention today, this week, and beyond.

Task Status Groups

Tasks are automatically sorted into priority groups based on their due dates and usage thresholds. No manual status updates needed — Mintain calculates everything in real time.

Quick Stats

At the top of the dashboard, you'll see overdue, due-soon, and this-month counts at a glance. Filter between All, This Year, or This Month to narrow your view.

Quick Notes

Quick notes also appear on the dashboard alongside your tasks, color-coded by their due dates. These are lightweight reminders that don't need a full maintenance task — things like "call the roofer for a quote" or "check warranty expiration."

Tip

Tap any task card on the dashboard to open its full detail sheet — you'll see the schedule, parts info, provider contacts, and a one-tap complete button.

4. Calendar

The calendar gives you a visual timeline of all your maintenance — past, present, and future. It's the fastest way to see what's coming up and spot patterns in your maintenance history.

Events are color-coded by category (blue for Home, cranberry for Auto, green for Yard, violet for Toys) so you can instantly see what type of maintenance is due.

5. My Stuff — Items

Items are the things you maintain — your house, your car, your lawn mower, your boat. Every maintenance task in Mintain is attached to an item, which keeps everything organized and makes it easy to see the full maintenance picture for anything you own.

Item Categories

Home

Houses, condos, rental properties. Track HVAC filters, smoke detectors, gutter cleaning, and more.

Auto

Cars, trucks, motorcycles. Track oil changes, tire rotations, inspections — by date AND mileage.

Yard

Mowers, trimmers, tractors. Track oil changes, blade sharpening, spark plugs — by date or engine hours.

Toys

Boats, ATVs, RVs, jet skis. Track by miles, hours, or calendar date — whatever fits.

Adding an Item

  1. Navigate to My Stuff and tap the + Add button.
  2. Choose a category (Home, Auto, Yard, or Toys).
  3. Fill in the details — name is required; year/make/model for vehicles, current mileage or hours if applicable.
  4. Review the recommended maintenance checklist. All common tasks are pre-checked. Uncheck anything that doesn't apply to your situation.
  5. Add any custom tasks that are unique to your setup.
  6. Tap Create Item — your item and selected tasks are created together.
Tip

The recommended tasks have sensible default intervals built in (e.g., oil change every 5,000 miles or 6 months). You can adjust any interval after creation — they're starting points, not rules.

Navigating Between Items

Editing & Archiving

From the item detail page you can edit the item's name, description, and category-specific fields. If you sell a car or no longer maintain something, you can archive it — archived items are hidden from your active views but their history is preserved.

6. Maintenance Tasks

Tasks are the heart of Mintain. Each task represents a specific maintenance action — "Change oil," "Replace HVAC filter," "Sharpen mower blades." Every task has a schedule, and Mintain tells you when it's time.

Scheduling Modes

Mintain supports three scheduling modes — this is what sets it apart from simple reminder apps:

Time-Based

Triggered by calendar interval — every 30 days, 6 months, 1 year, etc. Great for filter changes, inspections, and seasonal tasks.

Usage-Based

Triggered by mileage or engine hours — every 5,000 miles, every 50 hours. Perfect for vehicles and equipment.

Tasks can use time only, usage only, or both. When both are set, whichever threshold is reached first triggers the reminder. For example, "Change oil every 5,000 miles OR 6 months, whichever comes first."

Parts & Supplies

Each task can have multiple parts — because real maintenance often requires more than one item. An oil change needs both oil and a filter. A tune-up needs plugs, an air filter, and fuel stabilizer.

For each part, you can record:

Tip

Next time you buy a filter or part, snap a photo of the label and save it to the task. When it's time to replace it again, you'll know exactly what to buy — no more guessing at the store.

DIY vs. Professional Service

Each task can be marked as DIY or Professional. When you choose Professional, you can save your service provider's contact info right on the task:

Snoozing

Not ready to deal with a task right now? Tap Snooze to hide it from your dashboard for a set number of days (default 7 — customizable in Settings). Snoozed tasks appear in a separate collapsed section so they're out of sight but not forgotten. Tap Unsnooze anytime to bring them back.

7. Completing & Logging Tasks

When you've done the work, logging it takes seconds. Mintain automatically advances the next due date, updates usage tracking, and keeps your history complete.

Mark a Task Complete

From the task detail sheet:

  1. Open the task detail sheet (tap the task card from Dashboard, Calendar, or Item Detail).
  2. Tap Complete.
  3. Confirm or adjust the completion date (defaults to today).
  4. If usage-tracked, enter the current odometer or hour meter reading.
  5. Optionally add a cost and notes.
  6. Choose DIY or Professional — if professional, you can record the provider.
  7. Tap Save — done. The next due date is automatically calculated.

These gestures work on both maintenance task cards and quick note cards throughout the app — on the Dashboard, on Item Detail pages, and anywhere task cards appear.

Tip

If you track costs, Mintain tallies them up in your History view — you can see exactly how much you've spent on maintenance per item, per category, or overall.

Log Past Maintenance

Just getting started and want to record maintenance you've already done? Use the Log Past Maintenance button in the History section to backdate entries. This helps Mintain calculate accurate "next due" dates from day one.

Smart Date Defaults

During item setup, Mintain offers smart default dates based on typical intervals. For example, if you're adding a car and the oil change interval is every 6 months, Mintain suggests a "last done" date of 3 months ago as a sensible starting point. You can accept or override these defaults.

8. Mileage & Usage Tracking

This is Mintain's superpower. Most maintenance apps only track dates — Mintain also tracks mileage and engine hours, so you'll never miss a usage-based service interval again.

Recording Mileage or Hours

  1. Open the item detail page for your vehicle or equipment.
  2. Tap the Log Mileage or Log Hours button.
  3. Enter the current odometer or hour meter reading.
  4. Tap Save. Mintain updates the item and recalculates all usage-based due dates.

Monthly Reminders

Mintain can prompt you each month to log your mileage or hours. When the prompt appears on your Dashboard, just enter the reading — it takes 10 seconds. Enable this in Settings → Notifications and pick your preferred day of the month.

Usage Estimation Engine

Once Mintain has a few months of mileage or hour data, it calculates your estimated monthly rate — and uses that to project when usage-based tasks will come due, even between odometer updates. You'll see these as "estimated" dates on your task cards.

Note

The more consistently you log mileage or hours, the more accurate Mintain's projections become. Two or three months of data is usually enough for reliable estimates.

Dual-Trigger Scheduling

For tasks with both time and usage intervals (e.g., "every 5,000 miles OR 6 months"), Mintain monitors both thresholds simultaneously. Whichever limit is reached first triggers the reminder. This mirrors how manufacturers actually specify service intervals.

Unit System

Mintain supports both Imperial (miles) and Metric (kilometers). All mileage inputs and displays automatically convert based on your preference. Switch anytime in Settings → Units.

9. Quick Notes

Not everything is a maintenance task. Quick notes are lightweight, date-attached reminders for the stuff that doesn't fit into a recurring schedule — one-off to-dos, reminders to call someone, or notes to check on something later.

Quick notes appear on both your Dashboard and Calendar, color-coded by urgency (red if overdue, amber if due soon) so they blend right in with your maintenance tasks.

10. History & Cost Tracking

Every time you complete a task, it's permanently logged. Your maintenance history is a living record that helps you prove upkeep to buyers, track spending, and remember when things were last serviced.

The History tab shows all completion logs, grouped by month, with powerful filters:

Cost Summary

When you log costs with your completions, the History view shows a running total — broken down by item. This is invaluable for budgeting, tax purposes, or understanding what each item really costs you to maintain.

You can edit or delete any log entry from the three-dot menu.

Tip

Selling a car or house? Your Mintain history is proof of diligent maintenance — export or print it as a maintenance report for potential buyers.

11. Reports & Export

Mintain turns your maintenance data into shareable, printable reports — perfect for record-keeping, selling items, or filing with insurance.

Download your data as a spreadsheet for use in Excel, Google Sheets, or any other tool:

Generate clean, formatted reports designed for paper or PDF:

Filter by time range (This Month, This Year, All Time) before printing.

Note

Use your browser's "Save as PDF" option when printing to save a digital copy you can email or attach to a listing.

12. Settings & Preferences

Mintain adapts to the way you work. Fine-tune your experience from the Settings page — accessible via the gear icon in the top-right corner.

Appearance

Theme

Choose Light, Dark, or System (auto-follows your device). Your preference is saved to your profile.

Item Photos

Toggle whether item cards show your uploaded photos or category icons. Photos make it personal; icons keep it clean.

Notifications

Units

Switch between Imperial (miles) and Metric (km). All mileage inputs, displays, and exports reflect your choice.

Household

View and edit your household name. Your role (Owner or Member) is displayed here.

13. Plans & Billing

Mintain offers a generous free tier to get started, with an affordable Pro plan when you're ready for more.

Track up to 4 items with full access to all features — unlimited tasks per item, push notifications, parts & service tracking, export, and more. Free forever.

Pro Plan

Unlimited items. Everything in Free, plus no limits on how many homes, vehicles, and equipment you track. $1/month or $10/year.

Managing Your Subscription

What Happens if You Downgrade

If you cancel Pro and have more than 4 items, you'll be asked to choose which 4 to keep active. The rest are placed into a "downgrade archived" state — they're locked (no new tasks or edits) but their data is fully preserved. Upgrade again at any time to unlock them.

Tip

The annual plan saves you $2 compared to monthly billing — and at $10/year, it costs less than a single skipped oil change would.

14. Install as an App (PWA)

Mintain is a Progressive Web App — that means you can install it to your home screen and use it exactly like a native app, with no app store required.

Install on iPhone / iPad

  1. Open app.mintain.app in Safari.
  2. Tap the Share button (square with up arrow).
  3. Scroll down and tap "Add to Home Screen."
  4. Tap Add. Mintain now appears as an app on your home screen.

Install on Android

  1. Open app.mintain.app in Chrome.
  2. Tap the three-dot menu in the top right.
  3. Tap "Add to Home Screen" or "Install App."
  4. Confirm. Mintain is now installed as an app.

Install on Desktop

  1. Open app.mintain.app in Chrome or Edge.
  2. Look for the install icon in the address bar (or use the browser menu).
  3. Click Install. Mintain opens in its own window, separate from your browser.
Tip

When installed as a PWA, Mintain runs full-screen without browser chrome — it looks and feels just like a native app. Mintain will also prompt you to install during onboarding if you haven't already.
